Gift vouchers
How to record a gift voucher you sold, send it by email or print it in the look of your page, and pay part of an appointment with it.
On this page
You take payment for a gift voucher at your own till, as always, and issue the receipt there. In the admin you only record it: the app remembers what the voucher was worth, what is left on it and which appointments it paid. So you always know how many vouchers are still "out there".
A voucher is not tied to a customer. Whoever brings the code pays with it, so you can also sell a voucher for someone who has never been to you. For visits one customer pays in advance ("10 treatments") there are packages of visits.
The app does not issue receipts. Check with your accountant how to show a voucher on a receipt and in your books.
Selling a voucher
In the menu open Vouchers & packages and click New voucher:
- Amount of the voucher;
- Voucher code: the app suggests a random code of 8 characters, without letters and digits that are easily confused (such as O and 0). New code gives another one;
- Valid for: 6, 12 or 24 months from the day of sale, until a set day, or no expiry. The last day counts in full;
- Sold on: the day of sale, today by default;
- For, From and Message: printed on the voucher and in the email;
- Note: seen only in the admin, e.g. "paid by card".
With Send by email the voucher goes to the address right away. If your business works in several languages, you also choose the voucher's language.
Sending and printing
The voucher's page shows its card in the colours, logo and font of your booking page.
- Send by email: the voucher goes to the recipient or the buyer, with its amount, code, expiry, message and a button to book. Replies reach your business's address. Under the button you see whether it was sent.
- Print: an A6 voucher on A4 paper, with cutting marks. For a PDF use your browser: Print → Save as PDF.
Paying with a voucher
A voucher is a way to pay, not a discount: the appointment's price does not change, and neither do analytics or emails.
On the appointment's page, in the Payment block, click Pay with voucher and enter the code. Case, dashes and spaces do not matter. You see what is left on the voucher and until when it is valid, and the amount starts at the lesser of what is left to pay and the voucher's balance. A voucher is used bit by bit (30 of 50 today, 20 next time), and several vouchers can pay one appointment.
- An appointment "on request" can be paid up to the voucher's balance.
- Reverse next to a payment gives the amount back to the voucher (a wrong code, a wrong amount).
- When an appointment is cancelled, in any way, the amount goes back to the voucher by itself. If you restore the appointment and the voucher was spent meanwhile, restoring fails until you reverse the payment.
- The appointment's price cannot become lower than what was paid with vouchers.
- Use without an appointment on the voucher's page is for a product from the counter or an old debt, with a short note of what for.
The owner and the front desk pay with vouchers, and a staff member on their own appointments. The owner or the front desk sells, sends and edits vouchers.
Expiry and voiding
An expired voucher cannot be used. If you accept it anyway, click Extend on the voucher's page and choose by how much. The change goes into the change log.
Void voucher stops further payments; payments already made stay. A voided voucher can be put back in use. You can correct a voucher's amount until something is paid with it.
The list of vouchers filters active, used up, expired and voided ones, and a voucher that expires within 30 days says expires soon.
The app erases whom a voucher is for, from whom, the message and the address 12 months after the voucher closes (used up, expired or voided). Amounts and payments stay.
On the list of vouchers the owner can download every voucher (Export (CSV)), and in analytics they see how many vouchers were sold, how much was paid with them, what is unused on the active ones and what expired unused.
Vouchers you already have
Do you have printed vouchers with a number already in circulation? Record each one as a new voucher, with the number on the voucher as its code (4 to 20 letters and digits), the real day of sale and its expiry. If part of it was already used, record the voucher for its full amount and then Use without an appointment with the note "used earlier". Then the list shows the exact balance at once.
