Working hours, time off and closed days

A weekly schedule for each staff member, special days, holidays and leave, and how they turn into free times.

On this page

The booking page offers only times when a staff member works and is free. You edit schedules in the Working hours menu. The owner edits everyone's schedule, staff members only their own. The front desk enters special days and time off for everyone, but only the owner changes weekly hours and the business's closed days.

Weekly working hours

For each day of the week, enter from when to when the person works. A day without intervals means Not working.

  • Enter a break as two intervals, e.g. 8:00–12:00 and 12:30–16:00.
  • Copy Monday to Tuesday–Friday copies Monday to the other weekdays.
  • Changes apply once you click Save working hours.

The weekly schedule applies every week, except on special days and during time off.

Special days

When the person works differently on a day, e.g. longer on a Saturday, add a special day. On that date these hours apply instead of the weekly ones.

For a day when the person doesn't work at all, add time off.

Time off

Time off is a period when the person takes no appointments: holiday, sick leave, a public holiday or something else. It can last whole days or only a few hours, and you can add a note.

Time off does not cancel appointments already booked in that period. If there are any, we tell you how many. To cancel them or move them to a colleague and let the customers know, use Cancel a day.

Closed days for the whole business

Enter public holidays and days when nobody works, e.g. a business-wide holiday, once for the whole business, in Settings → Closed days. On those days nobody takes online bookings. Only the owner edits closed days.

You don't have to enter public holidays day by day. Add public holidays shows the public holidays of the next 12 months, with the weekday and the number of appointments already booked that day. All of them are ticked; untick a day you work after all. A day that is already closed says already closed and isn't added again. The days you choose become closed days for the whole business, with the holiday's name as the note. The button is there for businesses in Croatia.

A public holiday doesn't cancel appointments already booked that day either. After adding, we show how many there are; to cancel them and let the customers know, use Cancel a day.

The calendar shows a public holiday next to the date in the day, week and month views, also when the business works that day. The month view (Month) shows each day's number of appointments, a public holiday or closed day and, for a chosen staff member, the days they don't work and their time off. Clicking a day opens it.

How free times are made

The times customers see come from the working hours and the rules in Settings → Booking rules:

  • Times are offered every sets how far apart the offered start times are, e.g. 15 min: 9:00, 9:15, 9:30…
  • Book online at the latest sets how long before the start an appointment can still be booked online, e.g. 1 hour before.
  • Fit appointments without gaps (on by default) also offers times right after another appointment, a break or time off, e.g. 10:50. It doesn't offer times that would leave a gap no service fits into. That keeps the day packed, without empty 10 minutes between appointments.

An appointment always lasts as long as its service, plus the buffer after it. All times are in the business's time zone, and the change to and from summer time is handled for you.

Appointments outside working hours

In the admin you can enter an appointment outside working hours or during time off. We warn you, and you save it with Save anyway. Two appointments of the same person can never overlap, online or in the admin.

When you free up time, e.g. by deleting time off or working longer, people on the waiting list are told.
