First steps

How to sign in to the admin, what to set up before the first bookings and how to give customers your link.

On this page

Once we have set up your business, you get an invitation to the admin by email. This article takes you from the first sign-in to the first online booking.

Signing in

  1. In the invitation, click Set password and choose a password of at least 10 characters. The link is valid for 7 days. If it expires, get in touch and we will send a new one.
  2. Your business's admin is at yourbusiness.admin.ubooq.com, where "yourbusiness" is your business's address. Bookmark it or add it to your phone's home screen.
  3. If you forget the address, open sign-in for businesses and enter your business's address.

If you forget your password, use Forgot your password? on the sign-in page. The link for a new password is valid for 60 minutes.

What to set up before the first bookings

The admin's home page is Today. On it, the First steps card shows what is left:

  • Working hours. Without them the booking page has nothing to offer. More in Working hours, time off and closed days.
  • Contact details. Enter the name, email, phone and address in Settings → Details. Customers' replies to the emails we send on your behalf go to that email, and so do booking notifications for staff members without a login of their own (everyone else chooses theirs in their account, more in Reminders and emails).
  • Logo and look. Choose the template, colour and logo in Settings → Booking page look. More in Booking page look.
  • The booking link. When everything is ready, share it with your customers.

Also check the services and prices. We prepared them from the template for your type of business. Then add your staff.

Your booking page is at yourbusiness.ubooq.com. On it, customers choose a service, a staff member and a free time. They enter their name, phone and email and get a confirmation by email straight away. They need neither an account nor an app.

You can:

Booking rules

In Settings → Booking rules you decide:

  • until when an appointment can be booked online (Book online at the latest);
  • until when an appointment can be cancelled online (Cancel online at the latest);
  • whether customers can change their appointment themselves through the link in the emails (more in Reminders and emails);
  • whether customers can choose several services in one appointment, and whether different staff members may do them (more in Services and prices);
  • whether the waiting list is on;
  • under More options: how often times are offered (Times are offered every) and whether appointments fit without gaps.

How far ahead people can book (Furthest ahead) is chosen in Settings → Opening appointments (more in Appointments open until).

The defaults come from the template for your type of business, so you don't have to change them right away. Appointments you enter yourself in the admin are not limited by these rules.

The words in these guides

These guides use general words: staff, services and customers. In your admin they may have other names, depending on your type of business (e.g. "Therapists" and "Patients").

You change them in Settings → Labels in the interface, for each language. For who takes appointments, what is booked and who books you choose a ready-made set of words (e.g. "Stylists", "Treatments" or "Patients"). A set changes every word at once, the counts too ("3 stylists"). Under "Own labels" you enter your own words, field by field, and under each field it says what shows when you leave it empty. The counts then stay those of the set chosen before, so first choose the set closest to your word.

Languages

The booking page and the emails come in several languages. In Settings → Languages you choose which languages you offer and which one is the default. Customers get their emails in the language they booked in.

Everyone chooses the admin's language and its light or dark look for themselves, in the menu under their name.
